Normally the lookup item field is for reference. The information of the referred item is shown underlined. You use the lookup item button to find an item, to create an item, or to edit the item that is referred in the field.
Click in the lookup item field to enable the field. You can use the enabled lookup item field to find an item fast.
Each item has a large number of fields. Some of these fields, can be used to find items with the lookup item field. Which field is actually used as the search field, depends on the settings in your organization. The search field is chosen for efficiency in your organization. For example, you may want to find a person item by the last name of the caller. When a person item is created, the search code is created from the name of the caller. To find a person item, you can use the search code in the lookup item field.
Do not type too many letters in the field, unless you know the letters are correct. If you type too many letters, no items may be found with a matching search field.
If there is only one item with a matching search field, the Quick Find dialog box is not shown. Instead, the found item will be entered in the field. The cursor is placed in the next field on the form.
NOTE: After typing a few
characters in the lookup item field, the resulting Quick
Find dialog box will only show a limited list of search
results. The limited list shows those items that have a search code
that starts with the characters you typed in the field. To find a
complete list of possible values, close the Quick
Find dialog box and click the Quick Find
button to the right of the lookup item field.
